Clear disclaimers should be included in invitations, websites, and on-site signage.
Obtain explicit consent if you plan to use identifiable images for marketing purposes beyond internal use.
Best Practice: Unobtrusive, Effective Signage
Signage doesn’t have to detract from your event aesthetic to be effective. Strategically placing stylish yet prominent signs at entrances and registration desks can ensure visibility, while using simple, direct language such as “Please note: This event is being recorded and photographed for documentation and promotional purposes. By entering this space, you consent to such use” keeps the message clear. You can further reinforce awareness by supplementing physical signage with digital notices in registration emails or event apps.
